MyPeopleDoc is based on a digital vault architecture that complies with the requirements of the Labor Code. Before even discussing installation, a technical point needs to be addressed: access to the service is conditioned by an invitation issued by the company’s HR department. Without this prerequisite, no download will allow for the opening of a functional account.

Retention Obligation and Access Duration to the MyPeopleDoc Vault

The employer keeps a copy of the pay slips for at least five years, in accordance with the Labor Code. The employee’s digital vault follows a completely different timeline: access to the documents is guaranteed for 50 years or until the holder turns 75, depending on which deadline is reached first. This rule, backed by Article D3243-8 of the Labor Code, applies regardless of the technical provider chosen.

We observe that the majority of available guides mention “secure storage” without detailing this dissociation. However, it has direct consequences: even after leaving the company, the employee retains access to their personal vault. The documents already deposited remain viewable and downloadable for the entire legal duration.

This point conditions the choice of security. Archiving pay slips only in an email inbox or on a personal hard drive does not meet this obligation for longevity. The digital vault, on the other hand, is designed to structurally meet this requirement, with hosting independent of the contractual link between the employee and their former employer.

Installing MyPeopleDoc on Mobile: Technical Prerequisites

To download the MyPeopleDoc mobile application, you must first have received the invitation email sent by the HR department. This email contains a unique activation link. Attempting to create an account directly from the application, without this link, will systematically result in a blockage.

The application is available on Google Play for Android and on the App Store for iOS. The search is done with the term “MyPeopleDoc” in the store’s search bar. We recommend checking the displayed publisher before installation to avoid any unofficial third-party applications.

A point that may cause confusion: MyPeopleDoc also works via the mobile browser. On some devices, access through the browser offers an experience almost identical to that of the native application. Creating a shortcut on the home screen from the browser is a viable alternative if the native application poses compatibility issues.

  • Check for the receipt of the HR invitation email before any installation attempt, including in spam and junk mail folders.
  • Download the application only from Google Play or the App Store, never from an external APK file or a third-party link.
  • Activate the account by following the invitation link before attempting a first login in the application.
  • In case of persistent blockage, contact the company’s HR department rather than PeopleDoc’s technical support, as the problem often stems from an invitation not issued or expired.

Securing HR Documents in the Digital Vault

The MyPeopleDoc vault is not limited to pay slips. Employment contracts, employer certificates, mutual insurance letters, or training certificates are archived there. Each document deposited by the employer is timestamped and non-modifiable, giving it evidential value in case of dispute.

Security relies on encryption of data at rest and in transit. Login credentials are the usual weak link. We recommend enabling two-factor authentication when the option is offered and never reusing a password already used on another service.

A reflex to adopt: periodically download a local copy of your critical documents. The vault guarantees availability for the legal duration, but having a personal backup (on an encrypted medium) adds a layer of resilience. This precaution is particularly valuable for Pôle emploi certificates or work certificates, which are often requested within short deadlines during a professional transition.

Account Linking and Changing Companies on MyPeopleDoc

Changing employers does not mean losing your vault. If the new company also uses PeopleDoc, an account linking allows for the consolidation of documents from multiple employers in a single space. The request is made from the account settings, under the “Linking” section.

If the new employer does not use the platform, the old vault remains accessible with the original credentials. No action from the former employer is necessary to maintain this access. The documents already deposited remain viewable according to the legal retention period.

  • When changing companies, do not delete the existing account before checking if linking is possible with the new employer.
  • Keep the email address used during the initial activation: it serves as the main identifier and recovery key.
  • In case of voluntary unsubscription, all documents are permanently deleted. This action is irreversible.

Document management for HR on mobile becomes more reliable as long as these few technical principles are respected. The employer invitation activation remains the main lock: without it, neither the application nor the web version provides access to the vault. Checking this prerequisite before any other action avoids the vast majority of blockages reported by users.
